Office Experience Manager

We are seeking a proactive and organized Office Experience Manager to create a welcoming, efficient, and inspiring workplace. This position is based in the heart of Royal Oak and will be an office based role, with flexibility based on office needs. 

As part of the People & Culture team, you are passionate about fostering company culture, boosting morale, and ensuring that day-to-day office operations run smoothly. This position is pivotal in shaping the overall workplace environment and serving as the point of contact for our Royal Oak office.

Responsibilities

Office and Vendor Management:

With the return to office initiative, your aim is to create seamless service experiences throughout our work facility and remotely. Key components of office and vendor management include but are not limited to: 
  • Serve as the primary point of contact for office-related needs, including building maintenance, vendor relationships, and liaising with contractors, building management, and the landlord.
  • Oversee vendor management, including cleaning services, catering, office supplies, equipment maintenance, and local purchases.
  • Act as the primary point of contact for subtenants, ensuring their needs are addressed and maintaining strong professional relationships

Health and Security Management:

  • Manage office security and access protocols, including key fobs, parking passes, and overall building security compliance.
  • Ensure compliance with health and safety regulations by conducting regular inspections, maintaining appropriate documentation, and promoting a safe and secure workplace for all employees and visitors.
Facility Management:

You make sure our colleagues have a great place to work and all the tools necessary ensuring our colleagues can do their best work, both at the office or at home. Key components include but are not limited to: 
  • Maintain office supplies, equipment, and cleanliness by liaising with janitorial services.
  • Place orders for groceries, stationery, kitchen supplies, gifts, etc., and manage invoices in collaboration with finance.
  • Coordinate shipping and parcel management, ensuring timely and accurate delivery of incoming and outgoing items.
  • Organize and manage travel arrangements, including bookings, itineraries, and accommodations, to support business operations.

Project and Budget Management:

  • Manage office projects, including refurbishments, office moves, sustainability initiatives, and charity events, while overseeing planning, execution, communication, and budget tracking.
  • Oversee the optimization of office space to align with evolving business requirements, ensuring an efficient and adaptable work environment.
  • Manage the office experience budget, ensuring expenses remain within forecast and coordinating follow-up with the Head of Office Experience.
  • Provide Finance, People Services, Growth Management, Platform innovation, Consumer connection and client delivery with general support where required.
  • Support global projects with the Head of Office Management and give support to other offices.
  •  Manage TravelPerks.
Employee Experience:

 An important change we are introducing this year is a return to office to boost collaboration and creativity. This role is crucial in making it a success. We are looking for someone who can drive this and come with ideas to make people want to come to the office: someone who can engage people, communicate well, address resistance and give support. Additional support includes: 
  • Plan and execute office events designed to foster engagement, boost morale, and strengthen company culture.
  • Assisting the People & Culture team in onboarding process, providing office tours, setting up access (e.g., key fobs, parking slips), and making them feel at home.
  • Continuously evaluate and improve office experience initiatives based on feedback, industry best practices and changing business needs.
  • Collaborate with the People & Culture team to coordinate conference room bookings, schedule meetings, and facilitate event planning.
  • Establish effective communication channels for employees to voice their concerns, provide feedback and stay informed about office related initiatives and experiences.
  • Spearhead the company’s Give Back Program to encourage community involvement and philanthropic activities.
Leadership in Employee Wellness and Culture:
  • Act as the champion for workplace wellness, diversity, and inclusion initiatives.
  • Lead initiatives through our Wellness Team to drive health and wellness programs forward.
  • Regularly seek employee feedback to develop programs that resonate with our team’s needs.
  • Maintain and promote a welcoming office culture that reflects company values.

     

Qualifications

  • 3+ years of experience in office management, employee engagement, or a related role.
  • Exceptional organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities and thrive in a dynamic environment.
  • A natural team player with the ability to collaborate across departments.
